How to Prepare First Inventory Transfer to Fulfyld

First Inventory Transfer A first inventory transfer is the initial inbound shipment of product stock from an eCommerce brand to a 3PL warehouse, submitted as a replenishment in the warehouse management system so the receiving team knows exactly what to expect and can match arriving freight to the correct SKUs and quantities.

Quick answer: Before sending inventory to Fulfyld’s warehouse, you must submit a replenishment in Shipedge for every inbound shipment. The replenishment tells the warehouse team what to expect and generates the unique replenishment ID that goes on your box and pallet labels.

What You Need to Have in Place Before You Ship

Every unit has a scannable barcode. Fulfyld requires all individual units to have a scannable barcode, a UPC, or equivalent on the product itself. The warehouse team scans units during receiving to match them to your SKUs in Shipedge.

If you haven’t confirmed this with your onboarding coordinator yet, do it before shipping.

How to Prepare Your First Inventory Transfer: Step-by-Step

Follow these steps in order.

Step 1: Gather Your Shipment Details

Before you open Shipedge, have your Bill of Lading (BOL) or shipping documentation in front of you. You’ll need the following for each inbound shipment:

  • SKUs and quantities for every product on the shipment

  • Tracking number(s) for each shipment

  • Expected delivery date

  • If applicable: lot numbers, expiration dates, or any special handling notes

Step 2: Log In to Shipedge and Navigate to Replenishments

Log in to your Fulfyld client portal and click Replenishment from the dashboard. This is where all inbound inventory shipments are submitted and tracked.

Step 3: Submit a Replenishment for Each Inbound Shipment

Click Add Replenishment to open a new replenishment form. Fill in the fields from your BOL. The Expected Delivery Date and Comments fields are the only technically required fields to submit, but you should also add your tracking number.

This helps the warehouse team prepare for your freight’s arrival and match it to the replenishment when it comes in. Do not leave the tracking blank if you have it.

Important: Do not click QTY Pre-Sync. This button can cause inventory discrepancies and should not be used. Submit your replenishment using the standard flow below.

Once you’ve filled in the shipment-level details, click Add to proceed.

Step 4: Enter SKUs and Quantities

After clicking Add, you’ll see your product list. For each SKU included on this shipment, enter the expected quantity in the P.O. Qty field.

Double-check these quantities against your BOL before moving on; discrepancies between what you enter and what the warehouse physically receives will be noted during the receiving process and flagged back to you.

Once all SKUs and quantities are entered, click Insert.

Step 5: Review and Submit

Review your replenishment summary, SKUs, quantities, tracking, and expected delivery date, and click Submit Replenishment. Shipedge will generate a unique replenishment ID for this shipment. Write this down or save it: you’ll need it for your box and pallet labels.

Step 6: Label Your Boxes and Pallets

Every box and pallet in your shipment must be clearly labeled with the replenishment ID generated by Shipedge, along with the other label details provided in the Demo Follow-up Email from your onboarding Demo Call.

Apply labels to the exterior of each box and to each pallet in a visible location. For pallets, apply the label to all four sides so it’s readable from any direction when freight is unloaded.

Step 7: Ship to Fulfyld’s Warehouse

Send your inventory to:

Make sure tracking information is added to the replenishment in Shipedge once it’s generated by your carrier, if you didn’t add it before submitting.

The warehouse team uses tracking to anticipate arrival and prepare for receiving. If your shipment is freight (LTL or FTL), include the BOL number in the Comments field of your replenishment.

Step 8: Wait for the Receiving Confirmation

Once your inventory is delivered, Fulfyld’s warehouse team will process it against the replenishment in Shipedge. You will receive an email confirmation once the receipt is complete. That confirmation will note:

  • Quantities received per SKU, confirmed against what you entered in the replenishment

  • Any units that were short-received or missing

  • Any units flagged as damaged on arrival, with photos or carrier damage documentation

Step 9: Confirm Inventory Is Visible in Shipedge

Once the receiving confirmation arrives, log in to Shipedge and verify that your inventory quantities are reflected correctly in the system. Check each SKU on the shipment against your expected quantities. If anything looks off, contact your onboarding coordinator with the replenishment ID and the specific SKU in question.

With inventory received and confirmed, you’re ready to schedule your live date.

Frequently Asked Questions

What happens if my shipment arrives at Fulfyld's warehouse without a replenishment submitted in Shipedge?
The warehouse team cannot process inbound freight that isn't tied to a replenishment ID. Unlabeled or unsubmitted shipments will be held until the replenishment is created and the correct labels are provided, which delays your inventory from becoming available for order fulfillment.
Can I combine multiple SKUs in a single replenishment, or do I need one per SKU?
You can include multiple SKUs in a single replenishment as long as they are all part of the same physical inbound shipment. Enter each SKU and its expected quantity in the P.O. Qty field. However, if you are sending separate shipments with different tracking numbers, each shipment needs its own replenishment.
What should I do if the receiving confirmation shows a quantity discrepancy from what I submitted?
